Terms and Conditions for RoxWhy

These Terms and Conditions govern your access to RoxWhy, an AI learning workspace for tutoring, uploaded learning material, RoxBots, knowledge bases, writing support, and related account and billing features.

By creating an account or using RoxWhy, you agree to these terms.

RoxWhy Service

RoxWhy helps learners ask questions, work from notes and documents, create study context, and use AI-powered AI workflows. RoxWhy is a learning aid. It does not replace a teacher, adviser, professional, or accredited institution.

AI output may be inaccurate, incomplete, or unsuitable for your situation. You are responsible for checking important answers against reliable sources before relying on them.

AI NAPLAN Insights can extract a proposed set of results from a redacted image, ask you to confirm or correct those results, and produce learning, subject, pathway, career, university-field, future-NAPLAN, senior-results, and Predicted ATAR sections. Each prediction or scenario may instead show that no responsible result is available. AI NAPLAN Insights is not operated by ACARA, a school, a tertiary admissions centre, or a university.

Accounts

You must provide accurate account information and keep your sign-in method secure. You are responsible for activity under your account unless the activity results from RoxWhy's failure to use reasonable security measures.

You must not share credentials, attempt to access another user's account, or use RoxWhy to interfere with the service.

Parents, Guardians, and Students

If you create, pay for, supervise, or manage an account for a student, you are responsible for making sure the student is allowed to use RoxWhy and understands the parts of these terms that apply to them.

Students should only upload learning material, prompts, documents, or personal information when they have permission to do so. Parents, guardians, and account owners can contact support for account, privacy, or billing help.

Before using AI NAPLAN Insights, remove the student's name, student identifier, school identifier, QR code, barcode, and other unnecessary personal details. Raw PDF reports are not accepted. A student who states that they are under 15, or does not provide an age band, cannot start the upload workflow; a parent or guardian aged 18 or over must restart it as the submitting adult.

Uploaded Content

You retain ownership of notes, documents, prompts, messages, and other content you upload or create in RoxWhy. You grant RoxWhy the rights needed to host, process, retrieve, transform, and display that content so the service can operate.

Only upload content you have the right to use with an AI learning tool. Do not upload unlawful content, malware, credentials, full payment card numbers, or material that violates another person's rights.

AI Processing

RoxWhy may process your prompts, messages, uploaded documents, retrieved excerpts, and workspace context through AI-powered workflows and AI providers to generate responses and learning material.

You understand that AI systems can produce mistakes. You must not use RoxWhy output as the sole basis for high-stakes decisions, including medical, legal, financial, safety, migration, or employment decisions.

AI NAPLAN Insights predictions and scenarios are educational estimates, not guarantees of grades, ATAR, selection rank, subject success, university admission, or career outcomes. NAPLAN is not itself an ATAR calculation input. Where RoxWhy does not have an approved and validated methodology for a numeric prediction, the report may show an unavailable status without a number. Verify important subject, prerequisite, admissions, and course information with the relevant school, tertiary admissions centre, or education provider.

Plans, Billing, and AI Tokens

RoxWhy may offer starter and paid plans. Paid subscriptions, where enabled, are processed through Stripe or another configured billing provider. Plans can include starter credits, monthly AI tokens, support levels, and optional top-up pricing.

An AI NAPLAN Insights full report is sold as a separate one-off purchase at the price shown at checkout and delivered to the email address collected during checkout. The purchase does not buy or guarantee a particular prediction, numeric ATAR, admission outcome, or favourable conclusion. The report is not saved to a RoxWhy account or online report library.

AI tokens are metered service credits for tutoring, retrieval, writing, and other AI workflows. Token usage can vary based on model, message length, source context, and workflow depth. AI tokens have no cash value and cannot be transferred unless RoxWhy expressly allows it.

You are responsible for taxes, fees, and charges associated with your account. If payment fails, RoxWhy may limit access to paid features.

Cancellations and Refunds

You may cancel a subscription before the next renewal. Access normally continues until the end of the paid billing period.

Refunds are handled under the Refund Policy. Unless required by law or stated in that policy, used subscription time, consumed AI tokens, and completed top-ups are not automatically refundable.

Acceptable Use

You must not use RoxWhy to:

• Break the law or infringe another person's rights.
• Generate or distribute malware, phishing, spam, or credential theft content.
• Abuse, overload, scrape, reverse engineer, or bypass the service.
• Upload content you are not allowed to process.
• Attempt to evade billing, metering, security, or usage limits.
• Use the service for high-risk automated decisions without human review.

Availability and Changes

RoxWhy may change features, plans, limits, providers, pricing, or availability. We will try to avoid unnecessary disruption, but the service is provided on an "as is" and "as available" basis.

Termination

We may suspend or terminate access if you violate these terms, create security or legal risk, fail to pay required charges, or abuse the service. You may stop using RoxWhy at any time.

Liability

To the maximum extent permitted by law, RoxWhy is not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost data, lost learning outcomes, or reliance on AI output.

Where liability cannot be excluded, it is limited to the amount you paid for RoxWhy in the three months before the event giving rise to the claim, unless applicable law requires otherwise.
