Learn how to add new student profiles, monitor registration status, and manage student access

Student Management
As a parent user of RoxWhy, you can manage student profiles directly from your Parent Portal. This guide will walk you through adding students, monitoring their registration status, and managing their access to the platform.
Adding Students
To add a new student to your account:
1. Navigate to the Students section in the sidebar menu 2. Click the "Add Student" button 3. Enter the student's details: - First name - Last name - Email address (must be different from your parent email) - License type (Standard or Plus) 4. Click "Add Student" to confirm Once added, the student will appear in your list with a "Pending" status until they complete registration.Note: Each student requires their own seat license. Make sure you have enough available seats in your subscription before adding students.
Student Registration Process
After adding a student, they'll receive an email invitation to join RoxWhy. The registration process works as follows:
1. System will generate a registration link with verification code 2. Click the link and create their own username and password along with the verfication code 3. Once registered, their status changes from "Pending" to "Active"If a student hasn't registered yet, you can resend the invitation email:
1. Find the student in your list 2. CLick on the "View Detail" button 3. Click the "Re-generate Verification Code" button 4. Use the registration link for the student to complete the student registrationManaging Student Licenses
You can assign different license types to different students based on their needs:
Viewing Current License Assignments
1. Navigate to the Students section 2. Each student entry shows their current license type (Standard or Plus)Changing a Student's License Type
To upgrade or downgrade a student's license:
1. Navigate to the Students section 2. Find the student you want to modify 3. Click the "View Detail" or gear icon next to their name 4. Select the new license type from the dropdown 5. Confirm the changeNote: Upgrading a license (Standard to Plus) requires an available Plus seat. If you don't have one, you'll need to upgrade your subscription first.
Removing Students
If a student no longer needs access to RoxWhy, you can remove them from your account:
1. Navigate to the Students section 2. Find the student you want to remove 3. Click the "View Detail" button 4. Disable the Student from the ystem and Remove from the ystemRemoving a student frees up their seat license, which you can then reassign to another student if needed.
Important: Disable or Removing a student will revoke their access to RoxWhy immediately. Remove a student will cause their account data permanently deleted can can not be recovered.
Monitoring Student Activity
The Parent Portal provides basic visibility into student activity:
1. Navigate to the Students section 2. Each student entry shows their status (Pending or Active) 3. You can see when they last logged inFor more detailed insights into a student's academic progress, you can request access to view their Academic Tracker data (if they're using a Plus license).
Troubleshooting Student Access
If a student is having trouble accessing RoxWhy, check the following:
1. Registration Status - Make sure they've completed the registration process 2. License Status - Verify that your subscription is active and the student has a valid license 3. Login Credentials - Ensure they're using the correct email and password If a student forgets their password, parent should use the "Forgot Password" link to initate the password reset process. from the parent dashboard
